How to brief a software studio for your first app
A practical briefing checklist for Ugandan founders and teams who want a mobile or web app without wasting months on unclear requirements.
Most delayed software projects do not fail because of code. They stall because the brief was vague: “make us an app like X” with no users, no must-have flows, and no definition of done. A clear brief protects your budget and helps a studio ship something people can actually use.
Start with the problem, not the feature list
Write one paragraph that answers: who is stuck, what they do today, and what breaks. Example: “Clinic receptionists write appointments in a book, lose follow-ups, and call patients one by one.” That single sentence is more useful than a twelve-page wishlist of screens.
Then name the primary user. If you have more than one audience on day one—patients, doctors, admins—pick the person whose daily work unlocks value for everyone else. Secondary roles can wait for version two.
Define the three journeys that must work
List the three paths a successful first release must support end to end. For a booking product that might be: create an appointment, confirm it by SMS or WhatsApp, and mark attendance. Everything else is a candidate for later.
- Happy path: the steps that happen when everything goes right.
- Recovery path: what happens when a payment fails, a number is wrong, or the network drops.
- Admin path: how your team corrects mistakes without calling a developer.
Share constraints early
Tell the studio your platforms (Android, iOS, web), languages, offline needs, payment rails (Airtel Money, MTN MoMo, cards), and any tools you already pay for. Mention compliance expectations if you handle health, identity, or financial records. Constraints shape architecture more than mood boards do.
Agree on proof, not promises
Ask for a short milestone plan: discovery workshop, clickable prototype, first testable build, soft launch with a small user group. Each milestone should produce something you can click, not only slides. That rhythm keeps both sides honest and makes it easier to pause or reshape the scope before costs balloon.
If you are preparing a brief for Potentia Motus, send the problem paragraph, the three journeys, and any examples of apps your users already trust. We will reply with questions, a proposed shape of work, and a quote you can compare against your timeline.
Potentia Motus Ventures builds apps, websites, and AI tools with teams across Uganda. If this article maps to a project on your desk, we would like to hear about it.
